FAQ - Candidature Matters

Question
How many times is a student allowed a conversion of candidature from full-time to part-time and vice-versa?
Answer
Conversions of status can be allowed only twice during a candidature period, with the approval of the Dean of the School/Centre.

Question
My candidature will lapse in about 4 months time. To whom and where should I request for an extension?
Answer
An extension of candidature must be made to the Dean of the respective
Schools/Centre at least 2 months prior to the expiration date of the candidature. For this purpose, you have to complete the form IPS-05 which is available from IPS.

Question
I wish to terminate my candidature. Who should I inform?
Answer
Withdrawal from continuing your studies can be made to the Dean of IPS based on satisfactory and acceptable reasons.

Question
Will my fees be refunded when I withdraw my candidature?
Answer
Refunds for all fees will be made for withdrawals up to the 2nd week after registration except for the registration fees and matric card. For refunds, you need to produce receipts of payments to the Accounts Section of the Bursary.

Question
When my candidature lapses in July, do I need to re-register?
Answer
If your candidature lapses in July and provided that you have completed your research i.e. submitted 10 copies of your thesis, you still have to re-register to activate your status as a student until the viva is over. Should there be no progress as yet, you need to apply for an extension and re-register too or else you will be de-registered by USM.

Question
I wish to change my candidature from coursework to research. What shall I do?
Answer
You need to withdraw from the current programme and send in a fresh application for the new mode of study to IPS for consideration.

Question
Am I allowed to change my candidature from research to coursework?
Answer
You are allowed on condition that you withdraw from the research programme and submit your coursework application for consideration when the advertisement for intake programmes is announced.

Question
I wish to postpone my studies as my company will be sending me on an overseas assignment.What is the procedure?
Answer
Approval for postponement of studies must be made to the Dean of your School with a copy of your company’s verification that you will be away. The application for postponement can be made using the Form IPS-05 which is available from IPS. This form should be endorsed by the Dean and then submitted to IPS.

FAQ - Admission

Question
I have registered with IPS and I have not received my matric card. How long does it take?
Answer
Normally, the matric card will be issued within a week of registration, unless there is some amendment or correction of personal particulars.

Question
Am I allowed to register without a student’s pass as I am accepted as a research student in Kubang Kerian, Kelantan?
Answer
As a foreign student, you must be in possession of a student’s pass before you are permitted to register as a student in Malaysia. If you enter Malaysia without hour student’s pass, a penalty of RM500 will be imposed by the Immigration Department.

Question
Due to some unforeseen circumstances, I am unable to register as a coursework candidate in July due to financial constraints. What am I suppose to do?
Answer
Late registration will be permitted only under special circumstances and subject to the approval of the Dean/Deputy Dean of the respective Schools/Centre (for example, cases involving immigration matters). It is only allowed for a period of two (2) weeks after the stipulated registration dates, after which, all applications for late registration will be referred to the Deputy Vice Chancellor (International and Academic Affairs) for approval.

Question
I will be completing my Masters degree soon with another University abroad. Simultaneously, I would like to pursue my Ph.D degree with USM. Am I allowed?
Answer
Registration for a Ph.D degree with USM without a recognized Masters degree is not permitted. The regulations for admission states that you must be in possession of a Masters degree before you can register. 

Question
I am a registered Masters candidate with USM and I wish to pursue another Masters degree in one of our local Universities or maybe abroad. Am I permitted?
Answer
Simultaneous registration for another degree with any other university, locally or abroad, without prior permission from USM is not allowed.

Question
I was offered admission as a full-time student. Can I request for a change of status to part-time?
Answer
Yes, you are allowed the change of status by writing officially to the Dean of IPS for approval.

FAQ - Application

Question

I had submitted my application to undertake post-graduate studies at USM and I received a letter indicating that I was unsuccessful. May I know the reason?
Answer
Your application has been evaluated by the School/Centre concerned whereby there is a criteria for admission. There are various reasons why an application is rejected, for example; a programme is highly competitive , lack of experience, does not meet the minimum requirement.

I had submitted my application to further my studies, when can I know the result? 
Answer
It takes 3 months for an application of studies by research mode to be processed.

Question
What is the procedure for entry into the postgraduate degree programme: application procedure, qualifications needed, work experience, payment of fees? Who can I name to be the Referee and how long does it take to process my application?
Answer
To apply, you need to purchase the application form (available from the Institute of Graduate Studies) with a postal order or money order of RM10.00 made payable to “Bursar, Universiti Sains Malaysia” or you can download the application form from the IPS’ Website. With regards to the other enquiries, you can visit the homepage for help. One of your referees should be from an academic institution and another from your employer. The processing period for the research programme is between 1 - 1½ months.

Question
Does it mean that if an applicant, fulfils all the entry requirements, he/she will be accepted to register as a graduate student? 
Answer
Not necessary, for research programmes, it depends on the availability of a
Supervisor and for the Coursework/Mixed Mode programmes, a candidate should at least be in possession of a CGPA of 2.75 and above for courses that are highly sought.

Question
I wish to enrol as a postgraduate student in USM. May I know the programmes of study offered? 
Answer
USM offers three modes of study: by Research, Coursework and Mixed Mode. These are offered in various disciplines on a full-time or part-time basis. For further details of courses, please visit IPS’ website.

Question
I sent in my application sometime ago. What is the status of my application? 
Answer
Once your application has been forwarded to the School/Centre concerned for consideration and a decision has been received, IPS will then inform in the due course. Normally it will take 2 months for the school to process the applications.

Question
 Is it possible to register for two (2) postgraduate courses at any one time, that is, by research and the other by coursework? 
Answer
No, the regulations do not permit a student to enroll for 2 courses of study
concurrently in this University and neither can a student be registered at any other
University whilst pursuing a course of study here.

Question
I have submitted a self-addressed envelope and a postal order for purchase of the application form, until now I have not received it. May I know the delay? 
Answer
It could be that your request has not reached IPS. Could you forward IPS the slip of purchase of the postal order for us to verify that you had submitted it including a photocopy of the letter sent.

Question
I am currently studying for my Master’s degree at UTM, Skudai, Johore. I now wish to transfer to USM to continue. Am I allowed and what is the procedure? 
Answer
If you are currently registered as a research student, you are not permitted for a transfer. Should you need to pursue your studies at USM, you need to submit an application for consideration. USM will check if there is a regulation for transfer of credits from your University and whether it can accept the credit exemption for a particular course.
